What the Bookkeeping Act requires

  • 5 years. Businesses must securely keep accounting material for 5 years from the end of the financial year it relates to; material for 2023 must be kept until the end of 2028. This still applies if the business changes bookkeeping system or goes bankrupt.
  • Electronic is fine. Skat says you may store vouchers electronically, and the Act doesn't distinguish between electronic and paper material.
  • Digital bookkeeping. Businesses that file annual reports must record transactions and keep vouchers in a digital bookkeeping system. From 1 January 2026, this also applies to businesses that don't file annual reports, such as sole proprietorships, if their net turnover exceeded DKK 300,000 in two consecutive income years.
  • Bank reconciliation. The rules for non-registered digital systems require them to support reconciling the books with the business's bank account.

Getting statements into a digital system as structured data, rather than retyping them, is the practical way to meet this.

Importing into Danish accounting software

e-conomic

  • Bank reconciliation imports a CSV with at least Dato, Tekst and Beløb columns.
  • The file should be semicolon-separated, with dates like 14-01-2021 (PC) or 14.01.2021 (Mac), and text up to 255 characters.
  • Bank integration can also bring transactions in automatically.

Dinero

  • Imports a bank file into the journal (Bogføring › Kassekladde › Importér fil › Importér bank-fil) on Dinero Pro or Dinero Total.
  • Bank reconciliation can usually fetch 12 to 24 months of transactions through its bank connection.

Billy

  • Upload a bank statement CSV (Mere › Importer › Upload kontoudtog) with at least Dato, Beskrivelse and Beløb columns, or use Billy's bank connection.

AI Bank Statement converts a Danish PDF statement to Excel or CSV with amounts read correctly from the Danish format. Before importing, check that the separator and date format match what your software expects; e-conomic, for example, wants semicolons.
