Why bookkeepers convert Bank of America PDF statements
For Bank of America clients, the official monthly statement is usually a PDF. It is easy to store, send and review, but awkward to work with when you need to reconcile a year of activity.
Bookkeepers and accountants usually need the same statement data in a working format:
- Excel for review, cleanup and categorisation
- CSV for generic imports and spreadsheet workflows
- Xero CSV for manual Xero bank statement imports
- QuickBooks 3-column or 4-column CSV for QuickBooks Online
The safest bookkeeping workflow is to keep the original Bank of America PDF as the source record, then use the converted spreadsheet or CSV as the working file.
How Bank of America provides statements online
Bank of America's public digital-banking FAQ says customers can view, print and download up to 18 months of statements at any time. It also says Bank of America keeps statement copies for up to 7 years, and that older statement copies can be requested through Online Banking.
That matters when a client sends you only part of the year. If the missing statement is recent, they may be able to download it directly. If it is older than the online statement window, they may need to request a copy.
For bookkeeping, ask for:
- The official monthly PDF statements for the period you need.
- Every page of each statement, not just screenshots.
- Separate PDFs for checking, savings and credit card accounts.
- The statement period that matches the bookkeeping or tax period.
Does Bank of America offer CSV export?
Bank of America's public statement FAQ clearly covers PDF statement access. It does not, on that public page, spell out a universal CSV statement export for checking and savings statements.
That does not mean a customer will never see transaction-download options inside online banking. It means you should not build your bookkeeping process around a CSV option until the client confirms what their account actually offers and whether it covers the period you need.
A practical rule:
| If the client has… | Use… |
|---|---|
| Official monthly PDF statements | Convert the PDFs to Excel, CSV, Xero CSV or QuickBooks CSV |
| A transaction export covering the exact period | Use it if it imports cleanly and reconciles to the PDF |
| Only recent transaction downloads | Use PDF statements for older months |
| Credit card statements | Convert the PDFs and double-check signs before import |
Convert a Bank of America PDF statement to Excel
Use Excel when a human needs to review the data before it goes into the books.
- Upload the Bank of America PDF statement.
- Choose Excel (.xlsx).
- Use OCR mode for scans or image-based PDFs.
- Download the spreadsheet.
- Check totals and a few sample transactions against the PDF.
A useful Bank of America statement spreadsheet should have:
- transaction date
- description
- withdrawals or charges
- deposits or payments
- balance, when available in the statement
For a bookkeeper, this is the file where you can add categories, mark transfers, separate owner draws from expenses, and identify transactions that need client questions.
Convert a Bank of America PDF statement to CSV
Use CSV when the next step is an import. CSV is deliberately plain: it opens in Excel, Google Sheets, QuickBooks, Xero and many other tools.
For a general working CSV, a clean layout is:
| Date | Description | Money out | Money in | Balance |
|---|---|---|---|---|
| 03/14/2026 | Example payment | 86.40 | 4,820.15 | |
| 03/15/2026 | Example deposit | 1,250.00 | 6,070.15 |
Before you import the CSV, check:
- whether your accounting system wants one amount column or separate debit / credit columns
- whether dates are month-first or day-first
- whether zero values should be blank
- whether payments should be negative numbers
Those small formatting details are what usually break imports.
Import Bank of America statement data into QuickBooks
QuickBooks supports two CSV formats for bank transactions:
| QuickBooks format | Columns |
|---|---|
| 3-column | Date, Description, Amount |
| 4-column | Date, Description, Credit, Debit |
QuickBooks also warns that bank CSV files vary, and that an import can fail if dates, zeros or column headings are not in the expected format.
If you are converting Bank of America PDFs for QuickBooks, choose the QuickBooks output instead of a generic CSV. Then check the first few rows before upload:
- payments should land as money out
- deposits should land as money in
- credit card payments should not be treated as sales
- transfers should be matched, not duplicated as income and expense
Import Bank of America statement data into Xero
Xero can import bank statements from CSV. For a basic statement line, Xero needs the transaction date and amount. Descriptions make matching easier during reconciliation.
Use the Xero CSV output when the destination is Xero. Then:
- Choose the right Xero bank account.
- Upload the CSV as a manual bank statement import.
- Confirm date mapping and amount signs.
- Reconcile against invoices, bills, transfers and spend-money transactions.
If you are converting several months, keep the files by account and month until reconciliation is complete. That makes duplicate checking easier.
Workflow for CAs, CPAs and bookkeeping teams
When a client sends Bank of America statements, use this workflow:
- Separate each account. Do not mix checking, savings and credit cards in one file.
- Check the statement periods. Missing months are easier to spot before conversion.
- Convert each PDF. Use Excel for review or the accounting-software output for imports.
- Run a balance check. Opening balance plus deposits minus withdrawals should match the closing balance when balances are shown.
- Code and reconcile. Add categories, match transfers and flag questions for the client.
- Store the PDFs. Keep the original statements with the working papers.
The IRS says business records should support income and deductions on the tax return and be kept as long as needed. A converted file helps with bookkeeping, but the Bank of America PDF remains the original support.
Bank of America statement conversion checklist
Before you send or import the file, check:
- every statement page was included
- date order is correct for your accounting software
- debit and credit signs are correct
- blank values are blank, not zeros, if the importer requires it
- transfers between accounts are not counted as revenue
- credit card payments are not treated as income
- the converted total agrees with the statement total where possible
This is the difference between a spreadsheet that merely opened and a spreadsheet that is actually useful for bookkeeping.
